Privacy Policy

ClaimsOpsHQ ("we", "us", "our") is operated by Fortress Claims Consulting. This policy explains what information ClaimsOpsHQ collects, how we use it, and the choices you have. ClaimsOpsHQ is a private business application provided to authorized employees, contractors, and clients of Fortress Claims Consulting; it is not a general-purpose consumer service.

1. Information We Collect

  • Account information — name, email, username, role, and authentication credentials managed by our backend.
  • Claims data — insurance claim details, property information, policy data, contacts, emails, documents, photos, payments, tasks, and notes that you or your team enter into the system.
  • Communications — emails sent to and from your connected ClaimsOpsHQ inbox, including attachments and AI-generated summaries.
  • Device & push tokens — when you install the mobile app and enable notifications, OneSignal issues an anonymous device token that we store so we can deliver push alerts to your devices.
  • Usage & diagnostic data — sign-in events, basic activity logs, and error reports used to keep the service secure and reliable.

2. How We Use Information

  • Operate the claims workflow: organize claims, route emails, generate documents, track deadlines, and run AI assistance.
  • Send push notifications about claim activity (new emails, upcoming deadlines, assigned tasks). You can disable any category in Settings → Alerts.
  • Send outbound email on your behalf through Resend when you compose or reply inside the app.
  • Detect phishing, secure accounts, and comply with our legal and contractual obligations.

3. AI Processing

ClaimsOpsHQ uses AI models (currently Google Gemini and OpenAI GPT families, accessed via the Lovable AI Gateway) to summarize emails, classify urgency, extract claim metadata from documents, and draft replies. Content sent to these models is processed solely to return a result to you and is not used by us to train third-party models.

4. Third-Party Processors

  • Lovable Cloud / Supabase — database, file storage, authentication, edge functions.
  • Resend — inbound and outbound transactional email.
  • OneSignal — push notification delivery (iOS / Android / web).
  • Twilio — SMS alerts for administrators.
  • ElevenLabs — voice assistant transport (only when the in-app voice agent is used).
  • Lovable AI Gateway — routing to underlying AI models.

5. Data Retention

Claims, communications, and supporting documents are retained for as long as Fortress Claims Consulting requires them for active claim handling and recordkeeping obligations, typically the life of the file plus the statutory retention period in your state.

6. Your Choices

  • Notifications: turn push categories on or off in Settings → Alerts.
  • Account deletion: open Settings → Profile and tap "Delete my account" to permanently remove your account, push tokens, and personal profile from the system. Claims data created in the course of business may be retained by Fortress Claims Consulting as part of the official claim file.
  • Access & correction: contact us using the address below to request access to or correction of information about you.

7. Security

All data is transmitted over TLS, stored encrypted at rest, and protected by row-level security policies that restrict access to the users explicitly assigned to each claim. Administrative actions are logged. We strongly recommend enabling device-level passcodes or biometrics on any phone that runs the ClaimsOpsHQ mobile app.

8. Children

ClaimsOpsHQ is not intended for, and is not directed to, children under 18.

9. Changes

We may update this policy from time to time. Material changes will be announced inside the app before they take effect.
